Cardinal MF LLC (Cardinal) is a multifamily real estate development company focused on high-growth Texas markets. Managing partners Bryan Brown and Steve Sanders founded the company to pursue multifamily development and value-add opportunities in submarkets where they already hold deep relationships and a development track record. Cardinal employs a long-term strategy to investing. As opportunities expanded, Cardinal fought to keep up with demand due to time-consuming manual processes. They needed to modernize quickly and, after evaluating proposals from other accounting and consulting firms, Cardinal turned to a partner they knew and trusted.

The Challenge

Cardinal runs lean by design. Without a large underwriting team or back-office reporting function, the two partners and a small team oversee both deal evaluation and monthly financial review. As the portfolio grew, the manual processes supporting that work became increasingly difficult to sustain.

Every month, each of the nine properties produces a package of financial data: income statement, balance sheet, general ledger, trial balance, rent roll, and other statements. Reviewing this data for a single property meant working line-by-line through the general ledger, flagging variances above threshold, tracing each one back to an actual check, and assembling a set of questions for the property management team. The work ran roughly three hours per property. Across nine properties, nearly a full week each month was devoted to gathering, validating, and reconciling information before Cardinal’s team could focus on the analysis and investment decisions that create value.

The Solution

  • Workflow review: Aprio started by mapping where AI genuinely fit into Cardinal’s existing processes, rather than leading with the tool. Property financial review surfaced as the clearest entry points.
  • Environment setup: Aprio configured Cardinal’s Claude Code environment and integrated it with the company’s core systems, with careful attention to the governance, security and handling of proprietary financial data. The implementation included connectivity to QuickBooks, Microsoft Teams, and Microsoft 365 through MCP connectors; the development of custom Claude skills, agentic workflows, and internal automation capabilities; and ongoing user enablement and support for both Claude to drive adoption and effective day-to-day use.
  • Hands-on enablement: Aprio partnered closely with Cardinal’s team throughout the rollout, helping users develop prompts, optimize workflows, and evaluate results. Beyond the technology itself, the focus was on building confidence in how and when to use AI, identifying where human intelligence was still required, and turning raw output into informed business decisions. The initial implementation was completed in roughly two weeks.
  • Human oversight and review discipline: A core principle of the implementation was that AI would enhance, not replace, human intelligence. Aprio worked with Cardinal to build disciplined review practices that kept experienced professionals at the center of the process. Cardinal can now generate a tailored 10-page report in about a minute and a half by uploading a property’s income statement, general ledger, trial balance, and rent roll.
